ABERDARE VILLA 6280 – Terms & Conditions

 

Welcome to Aberdare Villa 6280. We appreciate your choice to stay with us. Please carefully review the following Terms & Conditions, which govern your booking, stay, and related services. By completing your reservation, you acknowledge and agree to abide by these terms.

 

1. RESERVATION POLICIES

Booking Confirmation 

Reservation shall be confirmed only after receiving a confirmation email or message from us.

Deposit Requirement 

A deposit of 50% of the total booking shall be required to secure the reservation.

Accepted Payment Methods 

Accepted payment methods are bank transfers and Mpesa.

Currency & Fees 

All payments must be made in [KSH, GBP, USD OR EURO]. Transaction fees are the responsibility of the guest.

Full Payment 

Full payment must be made before arrival at the property.


 

2. CANCELLATION POLICIES

Cancellation Notification 

All cancellations must be submitted in writing via email to reservations@aberdarevilla6280.co.ke

Free Cancellation 

The guests may cancel the reservation free of charge if made up to 10 days before the check-in date.

Late Cancellation Fees 

Cancellations within less than 72 hours before arrival shall attract the cost of the first night.

Early Check-out 

Departures earlier than the scheduled check-out dates may be credited for the unused nights upon request. This credit may be applied toward a future stay at the Villa within the next 6 months, subject to availability and prevailing rates at the time of rescheduling.

Modification of Booking 

Changes to the booking may be allowed subject to availability.


 

3. REFUND POLICIES

Refund Process 

Refunds will be processed within 14 business days from the date of cancellation confirmation. Refunds will be credited back to the original payment method unless otherwise requested.


 

4. CHECK-IN AND CHECK-OUT POLICIES

Check-in Time 

Guests can check in from 2.00 pm (EAT)

Check-out Time 

Guests must check out by 10.00 am (EAT).

Early Check-in/Late Check-out 

Requests for early check-in or late check-out may be considered subject to availability. Additional charges may apply.

ID Requirement 

Valid photo identification a passport or national ID must be presented at check-in.

Late Check-Out Fee 

Guests who check out beyond the agreed time may be charged for an additional night.


 

5. NO-SHOW POLICY

No-Show Fee 

If a guest fails to arrive without prior notice, a No-show fee, equivalent to the cost of the first night be shall be charged.


 

6. GUEST RESPONSIBILITIES AND CONDUCT

Guest Limit 

The number of guests must not exceed the maximum occupancy of the reserved villa suites capacity.

Property Damage 

Guests are responsible for any damage to the property or its contents.

No Smoking Policy

 Smoking is not allowed inside the accommodation. Violations shall result in fines.

Noise Policy 

Guests must respect the quiet hours to avoid disturbing other neighbours.

Pets

No pets allowed.


 

7. CULINARY EXPERIENCE

Meal Selection

Guests must choose from the following three dining options before arrival.


 

7.1. OPT FOR IN-VILLA DINING

Thank you for choosing In-Villa Dining. Please review the following terms to ensure a pleasant dining experience.


 

Pre-Order Requirement

  • To ensure a smooth experience, guests are encouraged to place their orders 1 hour in advance.
  • Last-minute requests may be subject to availability.

 

Meal Preferences & Dietary Restrictions

  • Guests must specify dietary preferences, allergies, and meal choices at the time of booking.
  • Any last-minute changes to menu selections may not be accommodated.

 

Service Hours

  • In-villa dining is available from 7 am to 8 pm East African Time as specified by the resort.
  • Orders placed outside these hours may not be fulfilled.

 

Menu Selection & Special Requests

  • Orders must be placed from the designated resort menu.
  • Special dietary requests will be accommodated where possible but are subject to availability.
  • Any special requests or additional dishes outside the agreed menu may attract extra charges.

 

Delivery & Presentation

  • Meals will be delivered in appropriate packaging or presentation, but setup and table is not included unless specified.

 

Payment Policy and Order Cancellation

  • All meals must be paid for at the time of ordering or charged to the guest’s account, as per resort policies.
  • Cancellations must be made one hour prior to avoid cancellation fees.
  • Additional charges will apply for In-Villa delivery, as per the resort’s policies.

 

Hygiene & Health Standards

  • Guests must maintain a clean and sanitary environment around food preparation areas.

 

Food Storage & Leftovers

  • Any leftovers should be stored appropriately, and it is the guest’s responsibility to consume or dispose of them safely.
  • The Villa is not responsible for any food spoilage or illness due to improper storage or consumption of leftovers.

 

DAMAGE, LIABILITY & SAFETY

  • Liability Disclaimer – The resort/Villa is not responsible for any allergies or dietary reactions.

 

7.2. OPT FOR RESORT BUFFET

Thank you for choosing the Resort Buffet. Please review the following terms to ensure a pleasant dining experience.

Buffet Service & Timings

The buffet is available during set meal times:

  • Breakfast: 7.00 am - 9.00 am
  • Lunch: 12:30 pm - 2:30 pm
  • Dinner: 7.30 am - 9.30 pm

Guests must arrive on time as the buffet service will not be extended beyond the scheduled hours.


 

PRICING & PAYMENT

  • Buffet charges are per person and can be paid after dinner unless included in the accommodation package.
  • No refund for partially consumed meals.

 

Holiday Supplements

Please note that a holiday supplement of USD 40 per person will apply due to increased resort meal rates on the following dates:

  • Christmas period: December 24th, 25th, 26th, 31st 2025/2026 and January 1st 2026.
  • Easter period: April 18th, 19th, 20th, 21st, and 22nd 2025.

 

Food Safety & Hygiene

Be mindful of allergens: Check labels, ask staff, and choose dishes safely when dining at a buffet.

Allergy Disclaimer:

  • The buffet may contain ingredients such as nuts, dairy, gluten, and other allergens.
  • The Villa is not liable for allergic reactions, specific dietary restrictions should be disclosed and confirmed in the booking form before the meal.

 

Liability Disclaimer

  • The Villa is not responsible for any foodborne illnesses due to improper guest food handling after serving.
  • Damages to buffet equipment or dining areas caused by guests are not liable to the Villa.
  • Buffet service may change due to weather for outdoor dining.

 

7.3. OPT FOR SELF-CATERING RESPONSIBILITY

Thank you for choosing Self Catering Dine, please review the following terms to ensure a pleasant dining experience.

Grocery & Ingredients Supply

  • Guests are responsible for purchasing their own groceries and ingredients.
  • Leftover food must be stored properly to avoid spoilage and hygiene concerns.

 

Safety & Damage Liability

  • Guests must use kitchen appliances responsibly and follow all safety instructions provided.
  • Any damage to appliances, cookware, or kitchen surfaces due to negligence will be charged to the guest.
  • Guests must ensure that electric stoves are turned off after use to prevent fire hazards.

 

Food Disposal & Waste Management

  • Guests must properly dispose of food waste using designated bins.
  • The Villa promotes eco-friendly waste disposal, and guests are encouraged to separate organic and recyclable waste.

 

Legal Disclaimer

  • The Villa is not responsible for any foodborne illnesses, burns, or injuries resulting from self-catering activities.
  • Any damages or losses will be charged to the guest before check-out.
  • The villa reserves the right to terminate self-catering privileges if the terms are violated.

 

Special Events


Private Events & Celebrations

  • For group bookings, private parties, or special dining experiences, a customized package can be arranged with advance notice.
  • Special event dining may require an additional support team, which will be charged separately.

 

8. ONSITE ACTIVITIES

Business Convention Center

Business and conferencing packages, bookings must be confirmed in advance to ensure availability of conference rooms, equipment, and related services.

Reservation Policy

Conference and business event bookings require prior confirmation, including details on the number of attendees, preferred setup, and any special requirements.

Cancellation & Modification

Changes or cancellations must be communicated within the agreed timeframe to avoid charges.

Facilities & Equipment

Meeting rooms are equipped with projectors and a noise-free environment. Additional equipment or services must be requested in advance.

Service Guarantee

All business and conferencing services are subject to availability and will be provided as per the confirmed agreement at the time of booking.


 

Recreations

Activity Availability & Booking

  • Participation in onsite activities is subject to availability and must be booked in advance where required.
  • Some activities may be affected by weather conditions or require a minimum number of participants.
  • The Villa reserves the right to cancel, reschedule, or modify any activity due to unforeseen circumstances.

 

Guest Responsibility & Safety

  • Guests must follow all safety instructions provided by staff and activity guides.
  • The Villa is not liable for any injuries, accidents, or damages resulting from participation in onsite activities.
  • Guests engaging in physical activities (e.g., swimming, golf, hiking) do so at their own risk.
  • Any damage to equipment or property caused by negligence will result in repair or replacement charges.

 

Activity Fees & Payments

  • Payment for chargeable activities must be made before participation.
  • Activity fees are non-refundable unless the activity is cancelled by the Villa.

 

9. EXCURSIONS

Excursion Bookings & Confirmation

  • All excursions must be booked in advance and are subject to availability.
  • Excursion bookings are confirmed upon full payment or as per the agreed terms.
  • Some excursions require a minimum number of participants to operate.

 

Cancellation & Refund Policy

Guest-Initiated Cancellations

  • More than 5 days before the excursion – Full refund minus processing fees.
  • 3 to 2 days before the excursion – 50% cancellation fee.
  • Less than 1 day before the excursion – No refund.

 

Villa-Initiated Cancellations

If an excursion is cancelled due to unforeseen circumstances (e.g., weather conditions, safety concerns), guests will receive a full refund or the option to reschedule.


 

Excursion Safety & Guest Responsibility

  • Guests are responsible for ensuring they are physically fit to participate in selected excursions.
  • It is recommended that guests wear appropriate clothing and footwear for outdoor activities.
  • The Villa is not liable for any injuries, loss, or damages incurred during excursions.
  • Guests must adhere to the instructions of guides and staff during excursions.
  • Wildlife excursions: Guests must maintain a safe distance from animals and follow all conservation rules.

 

Third-Party Service Providers

Some excursions are operated by third-party providers. While Aberdare Villa 6280 ensures reputable partnerships, we are not responsible for service failures, injuries, or disruptions caused by external operators.



10. ROAD TRANSPORTATION TERMS & CONDITIONS

Road Transfer Booking & Confirmation

  • Guests must request road transportation services at least 10 days in advance to ensure availability.
  • Road transfers are confirmed upon receipt of full payment or as per the agreed terms.
  • Pick-up and drop-off locations must be clearly specified at the time of booking.

 

Cancellation & Refund Policy

Guest-Initiated Cancellations

More than 2 days before scheduled pick-up – Full refund minus processing fees.

Less than 24 hours before pick-up – No refund.


 

Villa-Initiated Cancellations

If the villa cancels a road transfer due to operational reasons, guests will receive a full refund or an alternative arrangement.


 

Pick-up & No-Shows

Guests must be ready at the agreed pick-up location at the scheduled time.

If a guest is a no-show without prior notice, the transfer will be forfeited without refund.


 

Safety & Liability

  • All guests must wear seatbelts and comply with local traffic laws and road safety regulations.
  • Aberdare Villa 6280 is not responsible for delays caused by traffic, weather, road conditions, or police checks.
  • Guests are responsible for all personal belongings during road transfers. The Villa is not liable for lost, stolen, or damaged items.
  • Guests with special requirements (e.g, child car seats) must request these at the time of booking.


 

11. AIR TRANSPORTATION TERMS & CONDITIONS

Air Transfer Booking, Cancellation & Confirmation & Refund Policy

  • Bookings are confirmed only upon receipt of full payment.
  • Prior to confirmation of the booking the customer shall pay the Villa the total price due. In some instances, a non-refundable deposit may be required, with the balance of payment due 6 weeks prior to travel.
  • The Villa reserves the right to cancel any reservation for which full payment has not been received within the stipulated timeframes.
  • Air fares are subject to the prices and conditions quoted by the airlines and cannot be guaranteed by the Villa until full payment has been received.
  • We are only able to issue tickets once payment has cleared into the Villas’ bank account.
  • Copies of passports must be provided prior to the issuing of any air tickets for international or regional air tickets.
  • Ticketing time limits are imposed by each individual airline and flights are automatically released if payment is not received timeously.
  • Guest are requested to abide by the time restrictions provided in order to guarantee flight availability.

 

Villa-Initiated Cancellations

If an air transfer is cancelled by the Villa due to unforeseen circumstances, guests will receive a full refund or the option to reschedule at no extra cost.


 

Flight Delays, Rescheduling & Missed Flights

  • If a guest misses a scheduled flight, Aberdare Villa 6280 is not responsible for rebooking costs or penalties.
  • Guests are advised to arrive at the departure point at least 2 hrs before the flight time.
  • If a flight is delayed or rescheduled, guests must notify the Villa immediately to arrange alternative transfers if needed.

 

Baggage Allowance & Restrictions

  • Guests must adhere to the baggage policies of the air service provider.
  • Excess baggage may incur additional charges or may be refused by the airline.
  • Aberdare Villa 6280 is not liable for lost, damaged, or delayed baggage.

 

Safety & Liability

  • All guests must comply with aviation safety regulations and any instructions provided by the air service operator.
  • The Villa is not responsible for flight cancellations, delays, or changes caused by the airline or weather conditions.
  • Guests should ensure they have valid travel insurance covering any cancellations, medical emergencies, or flight disruptions.

 

12. INSURANCE

It is the responsibility of the traveller to ensure that they are adequately covered in respect of travel insurance, to include cover for personal accident, medical expenses, baggage, and cancellation and curtailment.


 

Liability Disclaimer

Guest Belongings 

  • The Villa shall not be liable for lost, stolen or damaged personal belongings.

 

 Health and Safety

  •  Guests shall be responsible for their own health and safety.

 
Protection of Personal Information

By signing our Booking Form, the traveller authorises Aberdare Villa 6280 to collect your Personal Information as it is deemed relevant for us to provide you with your accommodation and travel requirements. We may share your personal information with the following, which have an obligation to keep the personal information secure and confidential:

  • Employees of The Villa who are required to be informed of the personal information in order to attend to your stay requirements.
  • All third parties who may assist us in supplying the services.

We undertake not to disclose your personal information unless it is legally or contractually required to do so. We agree to use all reasonable efforts to ensure your personal information in our possession is kept.
